How to Grant Assessment Access to Account Workspaces

The Grant Assessment Access option in the Workspaces screen provides a way to share assessments and results with other Account Workspace users.

Using the Grant Assessment Access option can be beneficial when Brillium if users want to create standardized assessments that should not change, allow limited scoring activities to assessments, or they wish to share limited results access to other Account Workspace users.

How to Grant Assessment Access from One Account to Another Account

When an assessment is created in Brillium, the account that creates that assessment "owns" that assessment. This means that the Workspace Settings also control several aspects of the assessment behavior, such as:

  1. The Respondent Fields associated with the assessment
  2. The Assessment UI Settings
  3. The Default Settings applied when reading a new assessment.

 

Sharing an assessment with other Account Workspaces allows limited access to the assessment and results, but does not "copy" it in any way. The Account Workspace that created the assessment maintains control and ownership.

Granting Assessment Access

  1. Select Workspaces from the Settings (gear) icon.
  2. Right-click on the Account Workspace that the assessment will be shared with
  3. Select Grant Assessment Access. This presents the Assessment Permissions Screen
  4. Select the + Add New button to grant assessment access to the selected Account Workspace
  5. From the Workspace Owning Assessment drop-down list, select the Account Workspace that "owns" the assessment being shared
  6. Select Save
  7. From the Assessment Unique ID dropdown list, select either:
    1. *All to share all assessments with the currently selected Workspace.
    2. Select the particular assessment to be shared with the currently selected Workspace
  8. The Assessment Permissions selections grant assessment-wide permissions to the selected assessment(s):
    1. View - allows access to view the assessment, topics, questions, and settings, but not make changes
    2. Edit - allows access to view the assessment, topics, questions, and settings, but not make changes
    3. Copy - allows copying of the assessment. (NOTE: the copy is not controlled by Assessment Access settings, as it will be "owned" by to Account Workspace that creates the copy)
    4. Delete - allows the assessment to be deleted (NOTE: when an assessment is deleted, all assessment results are deleted along with it)
  9. The Result Permissions selections grant assessment result access to the selected assessment(s):
    1. View - view the respondent results associated with the selected assessment(s)
    2. Edit - view and change the respondent results associated with the selected assessment(s)
    3. Delete Complete - delete only COMPLETE respondent results associated with the selected assessment(s) using the Download Results tools selection on the Results screen. (i.e. respondents that have started and finished the assessment(s))
    4. Delete Incomplete - delete only INCOMPLETE respondent results associated with the selected assessment(s), using the Download Incomplete Results tools selection on the Results screen. (i.e. respondents that have started, but not finished the assessment(s))
    5. Download Summary - download respondent summary report results associated with the selected assessment(s) using the Download Complete Results tools selection on the Results screen.
    6. Download Detail - download respondent detail report results associated with the selected assessment(s) using the Download Incomplete Results tools selection on the Results screen.
    7. Scale - use the Scale Assessment function to add points to respondent results associated with the selected assessment(s) using the Scale Assessment tools selection on the Results screen.
    8. Score Essays - review and score essay using the Essays main menu item for the selected assessment(s).

NOTE

For Assessment Permissions and Results Permissions, there are two options for each setting: Yes and No. Selecting Yes will enable the related function. Selecting No will restrict the related function.

Result Filters

The ability to view assessment results can be refined by limiting which results this Account Workspace can view is controlled by creating Result Filters that define which results are accessible through the current Assessment Sharing rules.

The Respondent Fields available to the filter options are defined in the Respondent Fields section of the account that created and "owns" the assessment being shared, not the Account Workspace being granted Assessment access.

To filter results available to the currently selected Account Workspace, filter "statements" are created. Several filter statements can be combined with each other by selected the And/Or radio button options.  

Creating a Results Filter Statement

To create a filter statement:

  1. Select the And/Or option. By default, And is selected. This means that results visible will be defined by the current statement AND the one that follows. The Or option means that results visible will be defined by the current statement OR the one that follows, but it need not meet the requirements of both.
  2. Select the Respondent Field to be used to filter the respondent results viewable for this assessment using the Field dropdown list.
  3. Select the appropriate operator under the "Oper" column. This sets the qualification of the results viewable by this account. Each is defined as follows:
    1. =  - the value(s) defined in the Field column must be EQUAL to the value(s) entered in the Value field.
    2. < >  - the value(s) defined in the Field column must NOT be EQUAL to the value(s) entered in the Value field.
    3. > - the value(s) defined in the Field column must be GREATER THAN the value(s) entered in the Value field.
    4. > = - the value(s) defined in the Field column must be GREATER THAN OR EQUAL TO the value(s) entered in the Value field.
    5. - the value(s) defined in the Field column must be LESS THAN the value(s) entered in the Value field.
    6. < = - the value(s) defined in the Field column must be LESS THAN OR EQUAL TO the value(s) entered in the Value field.
    7. Like - the value(s) defined in the Field column must be LIKE the value(s) entered in the Value field. This selection acts as a pattern matching selection, where similarities are acceptable when the "=" option is deemed too strict.
  4. In the Value column, enter the value to be compared against the selection in the Field dropdown list.
  5. Up to five statements can be created and combined to restrict the assessment results viewable through the Assessment Access sharing rule.

Select Save to make the assessment access changes active.
